What AI does not do

It does not make decisions on your behalf.

  • It does not approve, reject or file documents without human review
  • It does not judge whether a supplier is compliant with your policies
  • It does not send messages, packs or reminders on its own
  • It does not train third-party foundation models on your files
  • It does not replace your legal, safety or procurement judgement
Human review flow

A short, honest workflow between AI and your reviewer.

The AI never touches your record directly. It writes a suggestion, a reviewer opens the file and either accepts as proposed or edits before saving. If the AI is unsure, it says so.

    Upload arrives
    A supplier or teammate uploads a document. It lands in the review queue, not the record.

    AI proposes
    Credbase suggests a document type and an expiry date, with a short reason and a confidence signal.

    Reviewer decides
    A person on your team opens the file, checks the suggestion and accepts, edits or rejects it.
  4. 04
    Credbase records
    The final values are written to the record with the reviewer name, timestamp and original suggestion kept for audit.
AI data-use statement

How your data is handled.

  • Purpose. Documents are sent to a vetted AI provider only to generate suggestions inside Credbase. They are not used for any other purpose.
  • No training. Your files are not used to train third-party foundation models. Our contracts with providers reflect this.
  • Retention. Content sent for AI processing is retained only as long as needed to return a suggestion, then discarded from provider systems on their published schedule.
  • Location. Where the provider offers UK or EU processing, Credbase uses it. Cross-border transfers rely on standard contractual clauses where applicable.
  • Opt-out. Workspace admins can turn AI suggestions off. Credbase still works as a manual system of record.

Use AI output with judgement.

AI suggestions in Credbase are informational and are not legal, safety, tax, insurance or procurement advice. They may be incomplete or wrong. You remain the controller of your third-party records and are responsible for the decisions made from them.

Credbase is designed to keep a human in the loop for every record change. If your regulator or client requires you to document that reviews are performed by a competent person, the built-in audit trail is designed to help you evidence exactly that.
