How quickly can I get set up?

Most teams have their first company on record, a document requested and a pack ready to share in under ten minutes. Sign up with an email address, add a company by name, click Request document and Credbase generates the upload link for you. There is no lengthy onboarding, no data-model setup and no need to configure fields before you can be useful.

Do I need to install anything?

No. Credbase runs entirely in your browser on any modern device, desktop, laptop, tablet or phone. There is nothing to install, nothing to configure, no browser plugin and nothing your recipients need to install either. They just open the upload link and drop a file in.

Can I try Credbase before paying?

Yes. Every workspace starts on a genuinely useful free tier, no credit card, no time limit and no crippled features. You can add companies, request documents, build packs and share links from day one. Upgrade only when your team grows or you need advanced sharing and branding.

How many people can use a workspace?

You can invite as many teammates as your plan allows, each with their own login and role. Roles let you decide who can request documents, who can approve them and who can send packs, so responsibilities stay clear as your team grows.

How do document requests work?

Accepted Answer

Pick a company, choose the document type and Credbase generates a friendly upload link addressed from you. You send that link however you like, email, WhatsApp, Slack, a portal message. The recipient opens a beautifully simple page, drags the file in, adds any details you asked for and hits submit. The document lands straight in your workspace ready to review, with the requester and company already attached.

Do recipients need an account to upload?

Accepted Answer

No. Upload links are single-purpose and time-limited. Recipients never sign up, never set a password and never see the rest of your workspace. That is deliberate, the fewer hoops they jump through, the faster you get your document back.

What file types can I collect?

Accepted Answer

PDFs, JPGs, PNGs and common office documents (Word, Excel) up to a generous per-file size limit. That covers almost everything a supplier, contractor or auditor will ever send you, certificates, policies, audits, spreadsheets, screenshots.

Does Credbase track expiry dates automatically?

Accepted Answer

Yes, that is one of the best bits. When a document lands, Credbase suggests the issue date and expiry date it has read from the file. Once a teammate approves it, Credbase keeps an eye on the expiry and nudges you in plenty of time so nothing lapses. You can also set custom reminder windows per document type if you want more or less warning.

How does sharing with clients or auditors work?

Bundle the documents you want to share into a pack, then send a single secure link. The recipient always sees the latest approved versions of every document, no zipped folders, no stale attachments and no need to resend the whole bundle next quarter. If a document is refreshed inside your workspace, the pack updates automatically for anyone with the link.

Can I control who sees a pack, and turn access off?

Yes. Each pack has its own share link, and you can revoke access in one click if a supplier relationship ends or you shared it with the wrong person. Paid plans add extra controls such as link expiry dates and passcodes.

Can I customise packs for different audiences?

Accepted Answer

Absolutely. Build tailored packs for procurement teams, insurers, auditors or new clients, each with the exact documents that audience needs. Packs are quick to duplicate and reuse across similar buyers, so you are not rebuilding the same bundle for every RFP.

Does Credbase support multiple companies?

Yes. Track as many suppliers, contractors, partners or client entities as you like inside one workspace, each with its own document record, contacts and history. There is no per-company charge.

Can I use my own branding?

Yes, on paid plans. Add your logo and brand colours so upload pages, packs and shared links look unmistakably yours, a small touch that gives recipients confidence and reinforces trust when you are asking for sensitive documents.

Does Credbase send reminders to recipients on my behalf?

Yes. When you request a document, Credbase can send gentle follow-up reminders to the recipient until they upload, so you are not the one chasing. You choose the cadence, and you can stop reminders at any time.

How does Credbase use AI?

Accepted Answer

Credbase uses AI to read the essentials off documents you receive, document type, issue date, expiry date, insurer or issuer name where relevant, so you do not have to key them in. A human on your team always reviews the suggestions before they become part of the record.

Will AI make mistakes?

Accepted Answer

AI suggestions are treated as helpful drafts, never sources of truth. Your team sees every extraction, can edit any field and only saves what looks right. The result is much faster admin with the same quality bar you set today. If a suggestion looks wrong, you correct it in the same view before approving.

Do you train AI models on my documents?

Accepted Answer

No. Your documents are used only to serve your workspace. We do not sell data, we do not share your documents with third parties for their own purposes and we do not use them to train third-party foundation models. Full detail lives on the Trust Centre.

Can I turn AI features off?

Accepted Answer

Yes. If you prefer to key everything in manually, AI extraction can be switched off at the workspace level. Documents will still upload, store and share exactly as normal, you just fill in the fields yourself.

How does Credbase keep my data safe?

Accepted Answer

Every workspace is private by default. Data is encrypted in transit (TLS) and at rest, access is role-based with an audit trail and internal access to production data is tightly limited and logged. The full picture, sub-processors, backups, incident response, lives on the Trust Centre.

Where is my data hosted?

Accepted Answer

Credbase runs on managed cloud infrastructure inside the UK and EU, with regionally resident storage and automated encrypted backups. Your documents do not leave that footprint.

Question 23

Is Credbase GDPR compliant?

Accepted Answer

Yes. Credbase is built to align with UK GDPR obligations for personal data processed on your behalf. Standard data processing terms are available in our DPA, and your rights as a data subject are covered in the Privacy Policy. If your legal team needs the DPA signed, contact us and we will get it over.

Can I export or delete my data at any time?

Yes. You are in control. Export your workspace whenever you like from account settings and delete documents, companies or your whole workspace on demand. Deletion is permanent, so we ask you to confirm.

What happens if I leave Credbase?

Accepted Answer

Export everything as PDFs plus a structured file listing your companies, documents and metadata. Once you have your export, deleting your workspace removes your data from Credbase in line with our retention policy.

How much does Credbase cost?

Credbase has a genuinely useful free plan and clear paid tiers as your team grows. The Pricing page lists what is included at each level with no small print, no per-recipient charges and no metering on uploads or packs.

Are there any surprise fees?

No. What you see on the pricing page is what you pay. No per-recipient charges, no per-upload metering, no fees to send a pack and no charges for adding companies or contacts.

Can I cancel or change plan whenever I want?

Accepted Answer

Yes. Change plan or cancel from account settings at any time. Your data stays yours and remains exportable. Monthly plans stop billing at the end of the current month; annual plans run to the end of the paid period.

Do you offer a money-back guarantee?

Accepted Answer

Yes, on Core monthly. If you sign up for the Core monthly plan and it is not right for you within the first 30 days, email hello@credbase.app from the address on your account and we will refund your first payment in full, no questions asked. The guarantee applies only to the first payment on a new Core monthly subscription. It does not apply to Core annual, to Team or to monthly renewals after the first month. You are always free to cancel at any time.

Do you offer discounts for annual billing or charities?

Annual billing comes with a discount versus paying monthly, the exact saving is shown on the Pricing page. If you are a registered charity or non-profit and Credbase would meaningfully help, get in touch and we will do what we can.

Question 31

Can more than one person on my team use Credbase?

Accepted Answer

Not yet. Credbase is currently single-user per workspace, which keeps it simple to run and cheap to keep. If you need multiple logins on the same account, email hello@credbase.app and we'll help you work out the best setup. Proper multi-user team accounts are on the roadmap.

Can I move my existing documents into Credbase?

Accepted Answer

Yes. You can upload files directly into each company record at your own pace, or send us the folder structure you have today and we will help you shape the first batch of companies and documents so you are up and running quickly. There is no charge for a reasonable migration on paid plans.

Do you have an API?

Not right now. Credbase does not currently offer a public API, and it is not something we are actively building. Our focus is on making the core product excellent for teams who work in a browser. If you have a specific integration need, tell us on the contact page, we would rather hear about the workflow than promise a roadmap item we cannot commit to.

Do you integrate with other tools?

Credbase focuses on doing document collection, tracking and sharing really well in its own workspace. There are no native integrations with CRMs or procurement platforms today. Packs are designed to slot into your existing process, send the share link from whatever tool you already use to talk to clients or auditors.
