RAMS collection checklist

Build the exact RAMS and site paperwork to collect from a subcontractor for a specific job. Pick the trade, duration and site risks, then copy the list or send the drafted request email.

Who this is for and what it solves

Who this is for
  • Site managers and contract administrators onboarding subcontractors
  • Health & safety leads standardising RAMS collection across jobs
  • Small builders and principal contractors doing paperwork themselves
Problem it solves

Every job needs a slightly different RAMS bundle and the last checklist lives in a Word doc somewhere. This builds a job-specific list plus a drafted email to the subcontractor in seconds so nothing gets missed before crews step on site.

Subject:RAMS and site paperwork needed - General build
Hi there,

Ahead of your team starting on this job, please could you send across the following?

- Task-specific risk assessment (RA) (Signed, dated and covering the exact scope of works.)
- Method statement (MS) (Sequence of works, plant, PPE and control measures.)
- Public liability insurance certificate (Minimum £5m for most main contractors. Check the schedule.)
- Employers' liability insurance certificate (£10m is the UK market norm. Statutory minimum is £5m.)
- COSHH assessments for any hazardous substances
- CSCS cards for every operative on site
- Site induction confirmation
- Toolbox talk records for the works

Everything should be site-specific rather than generic. A reply to this email with the documents attached is fine.

Shout if anything on the list does not apply and I will confirm.

Many thanks,
[your name]

How it works

  1. Step 1
    Set the job

Pick trade and duration, add the site and start date, flag any high-risk activities.

  2. Step 2
    Tick what you have

Work down the generated list. Anything unticked is what you still need to chase.

  3. Step 3
    Send it

Copy the drafted email straight to the subcontractor or turn it into a live request in Credbase.

Where this tool stops

The checklist is the easy bit. Collecting the paperwork is the job.

Knowing what RAMS to ask for takes a minute. Actually chasing every subcontractor for the right version, storing it against the right job and proving it was current on the day of the works is where it falls apart.

Credbase turns the checklist into a live request per subcontractor, files the returned RAMS to the job and flags anything missing before crews start.
